Registration Cancellation and Refund Policy

Registrations canceled by March 15, 2024 will receive a full refund. Cancellations received after March 15 may not be refunded.

Cancellation requests must be submitted through your account on the conference registration website or emailed to info@nctrafficsafetyconference.org. You will receive an email confirmation of your cancellation. No requests will be accepted by phone.

Please Note: Canceling your registration does NOT cancel your hotel reservation; you must cancel separately according to the instructions listed in your confirmation email. Be sure to save the reservation cancellation email for your records.

Substitution Policy

Substitution of another person for a registration is permitted prior to and at conference check-in.

Substitution requests made prior to the conference must be submitted through your account on the registration website or emailed to info@nctrafficsafetyconference.org. Email requests must include the first/last name, email address, work phone number, title and organization of the new registrant. You will receive an email confirmation of your substitution. No requests will be accepted by phone.

The individual submitting the substitution request is responsible for all financial obligations and any balance due associated with that substitution until it has been approved and confirmed. Once the substitution is confirmed, the new registrant is responsible for all financial obligations.

Splitting a single registration between multiple persons and badge sharing is strictly prohibited.

 

Liability Waiver

By registering for the NC Traffic Safety Conference & Expo (the Conference), you agree and acknowledge that you are participating in the Conference events and activities on your own free and intentional will. You acknowledge this freely and knowingly and that you are, as a result, able to participate in the Conference events and hereby assume responsibility for your own well-being. This acknowledgement includes participation by your guest(s) in any Conference events and activities.

Photography Waiver

The NC Traffic Safety Conference & Expo (the Conference) and its agents will record photos and video of the Conference events and activities for the purposes of Conference-related education, information, and promotion. The photos and video may be used in print, electronic, and other media. By participating in the Conference, you grant the Conference rights to use your name, recorded image and likeness for such purposes. All photos and video are the property of the Conference and may be displayed or reproduced by the Conference for such purposes.

Public Health Statement

The NC Traffic Safety Conference & Expo is committed to providing a safe and healthy environment for all participants. This responsibility is shared by every participant to help reduce the spread of COVID-19, the flu and other infectious illnesses.

If you feel sick, please stay home to protect yourself and the health of others at the conference. Get tested and, if you are positive for COVID-19, please follow CDC guidelines. Use preventive measures (e.g., face coverings, social distancing, hand sanitation, etc.) at the conference according to your vaccination status and personal preference.

All participants are expected to adhere to and abide by any health and safety precautions implemented for the event as well as any restrictions and guidelines implemented by the State of North Carolina and local facilities.
